Mention Memo is a Toronto-based business. This policy covers mentionmemo.com and the tools on it. We collect as little as we can get away with, and we don't sell anything to anyone.
What we collect, and when
- When you submit the contact form — Your name, email address, company, website, what you're interested in, and your message. We also record which page you submitted from, the time, your IP address, and your browser's user-agent string.
- When you run the free AI Visibility Check — The website URL you enter and the results we generate for it, along with the time, your IP address, and your user-agent string. You do not need an account and we do not ask for your email to see your score.
- When you request the full report — Your email address, plus which audit it refers to and the score it produced, so we know what to send you.
- When you browse the site — Standard analytics: pages visited, roughly where you are, what device and browser you used, and how you arrived. This comes from Google Analytics, Firebase Analytics, and Vercel Analytics.
- Stored in your browser, not by us — We save your most recent AI Visibility Check result and whether you've already requested a report, so you don't lose your score on refresh or get asked for your email twice. These sit in your browser's local storage on your own device. Clearing your browser data removes them.
Why we collect it
- To reply to you — If you fill in a form, we use your details to respond and, if it goes further, to do the work.
- To run the tools — The URL you submit is needed to produce your score. We keep the result so we can send you the detailed report if you ask for it, and so we can reference it if we speak.
- To keep the site working and honest — IP addresses and user-agent strings help us stop spam and abuse of the free tool. Analytics tell us which pages are useful and which aren't.
What we don't do
- We don't sell your information — Not to anyone, for any amount, ever.
- We don't add you to a newsletter — Requesting your audit report gets you that report. It does not sign you up for a mailing list or an automated sales sequence.
- We don't use your data to train anything — Your submissions aren't fed into any model.
Who else touches it
We use a small number of third-party services to run the site. Each has its own privacy policy.
- Google (Firebase and Google Analytics) — Hosts our database and email delivery, and provides analytics. Form submissions and audit results are stored here.
- Vercel — Hosts the website and provides basic traffic analytics.
- Calendly — Powers the booking calendar. If you book a call, whatever you enter there is handled under Calendly's own privacy policy.
Where it's stored
Our database and hosting run on Google Cloud and Vercel infrastructure. That means your information may be processed and stored outside Canada, including in the United States, where it is subject to the laws of that country.
How long we keep it
We keep enquiries and audit results for as long as they're useful for the purpose we collected them for, and no longer than we need them. If you want yours removed sooner, ask and we'll delete it.
Your rights
Under Canadian privacy law (PIPEDA), you can ask us what we hold about you, ask us to correct it, ask us to delete it, and withdraw your consent at any time. Email us and we'll action it. We won't ask you why.
Changes to this policy
If we change how we handle your information, we'll update this page and change the date at the top. We won't make a quiet change and hope nobody notices.
